The Community Engagement Division’s Event and Production Services Unit is looking for an energetic, dedicated, and experienced Event Assistant to join our team. The division is principally responsible for facilitating communication and forging relationships between the Speaker’s Office, Council Members and constituents of the City of New York.
SALARY RANGE:
$60,000 to $70,000
KEY RESPONSIBILITIES:
- Assist with in-house and remote events and parades.
- Communicate with District office staff and work with related committee staff.
- Prepare event sign-in sheets and staff assignments.
- Take event planning meeting notes, as needed.
- Create Run of Show minutes for Event Director and Council Member office approval.
- Prepare and upload list(s) into the system and ensure that software is ready to use for the event.
- Monitor and follow up on RSVPs with Director and Event Coordinator, when needed.
- Collect post-event RSVP’s captured on paper to be shared with the Director of Correspondence.
- Weekly reporting on all activities and other administrative tasks, as necessary.
QUALIFICATIONS:
- Must have excellent organizational skills and capable of interacting with a broad range of individuals.
- Ability to create and maintain personal organization/tracking tools as needed.
- Strong time-management skills and balancing of numerous projects at a time with care and attention to detail. Ability to work well on tight deadlines.
- Proficiency in Microsoft Office suite – specifically Word and Excel.
- Excellent communication and interpersonal skills.
- Team player with a willingness to share responsibilities with others.
- Self-starter with a demonstrated record of accomplishment of showing initiative to move projects forward.
- Bachelor’s Degree is preferred.
- Minimum of two years’ experience with events or related work required.
- Knowledge of New York City and its communities is helpful.
- Due to the nature of this position, individuals will occasionally be required to work various shifts such as weekends and/or evening shifts.
ADDITIONAL INFORMATION:
New York City residency required within 90 days of appointment.
