The Administrative Services Division is the liaison to all of the Council divisions by assisting in the daily operations of Council Members, council member aides and central staff. The Division’s specific areas of responsibility include contracts, procurement and payment of goods and services, record retention, administration of the budget, facilities management, information technology services and overseeing the Sergeants-At-Arms Unit.
We are seeking an Accounts Payable Assistant for the OTPS Unit within the Administrative Services Division. The ideal candidate will have a strong understanding of general accounting principles, the ability to work within the City of New York’s financial systems, and the capacity to perform detailed, time-sensitive financial work in a fast-paced environment.
SALARY RANGE:
$60,000 to $70,000
KEY RESPONSIBILITIES:
- Prepare, review, process and file invoices in an accurate and timely manner, in accordance with the City Procurement and regulations requirements.
- Audit vouchered payments, check descriptions and specifications to determine their accuracy and adequacy, and consult with departments and agencies to adjust possible discrepancies.
- Research and respond to inquiries, including check numbers, issue dates, clearance dates, stop payments, and reissuances.
- Maintain and update expenditure data, including scanning, filing, and generating budget reports.
- Liaise with City agencies, Council Member offices, and vendors to ensure timely payment for goods and services.
- Provide vendors with payment details and assist with enrollment in the Payee Information Portal (PIP) to track City financial transactions.
- Investigate issues related to orders, confirmations, and approvals, and resolve problems in accordance with Council guidelines.
- Perform additional duties and projects in support of the OTPS Unit, as assigned.
- Utilize the City of New York’s Financial Management System (FMS) and Microsoft Excel.
- Distribute office and operational supplies, as needed.
QUALIFICATIONS:
- Secondary education or equivalent, with progressive work experience in a general accounting or administrative capacity.
- Ability to interact professionally with the public.
- Ability to function effectively under pressure and meet tight deadlines.
- Demonstrated ability to build and maintain strong working relationships.
- Proven ability to see projects through to completion.
- Self-starter with strong organizational, problem-solving, and interpersonal skills.
- Detail-oriented with strong written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
