The Council has a dedicated team of city planners, attorneys, and administrative staff that support Council Members and the Land Use Committee. This division helps the committee Chairs conduct hearings and analyze land use issues on behalf of Council Members. Before applications for land use changes begin public review and eventually reach the Council, there is a planning process that involves understanding the conditions of the affected area and engaging stakeholders including Administration agencies and community members including residents and elected officials.
We are looking for an experienced administrative professional to join our team. The Legislative Administrative Assistant will provide high-level administrative and operational support to ensure the division’s smooth and efficient functioning.
SALARY RANGE:
$62,000 to $82,000
KEY RESPONSIBILITIES:
- Provide administrative and other support services to the Director, Land Use General Counsel, Deputy Directors and other professional staff in the division.
- Handle calls, incoming correspondence, appointments, meetings, and visitors with promptness and a professional business attitude.
- Handle office correspondence and communications by answering queries from project managers and office personnel, and reference information tracked on internal file management systems.
- Enter application information in the Division’s information tracking systems.
- Work with the legal team and administrative team to prepare documents for members of the Land Use Committee and associated subcommittees for public meetings.
- Under supervision from the legal team, prepare Committee Reports and Council Resolutions, as well as other legal documents that articulate the Council’s decisions.
- Prepare and edit correspondence and reports. Assist in the preparation of reports, correspondence and memoranda of a confidential nature in a timely fashion.
- Assist in the preparation of reports, presentations and exhibits to summarize research findings for division.
- Participate in meetings with management and colleagues to obtain relevant information to prepare required legal documentation.
- Perform other duties, as assigned.
QUALIFICATIONS:
- Any combination of education, training and experience which demonstrates the ability to perform the duties as described.
- Increasingly responsible administrative experience, preferably in the public sector.
- Experienced in handling a wide range of administrative and executive support-related tasks.
- Ability to work independently with little or no supervision.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
- Excellent organizational and interpersonal skills.
- Ability to handle several tasks/projects simultaneously.
- Ability to work under tight deadlines.
- Ability to handle time-sensitive, confidential issues and information with discretion.
- Ability to professionally interface with associates and management at all levels.
- Desire to take self-initiative while also enjoying working within a team.
- Commitment to public service.
