The Administrative Services Division is the liaison to all of the Council divisions by assisting in the daily operations of Council Members, council member aides and central staff. The Division’s specific areas of responsibility include contracts, procurement and payment of goods and services, record retention, administration of the budget, facilities management, information technology services and overseeing the Sergeants-At-Arms Unit.

We are seeking an experienced Billing Coordinator to support financial operations within the Administrative Services Division. This position is responsible for auditing, processing, and monitoring billing-related transactions while ensuring compliance with City policies and procedures.

SALARY RANGE:

$60,000 to $70,000

KEY RESPONSIBILITIES:

  • Audit and process purchase orders, vouchers, and invoices to ensure accuracy, completeness, and timeliness.
  • Enter, review, and approve financial transactions and vendor documentation in Microsoft Dynamics and the City of New York Financial Management System (FMS).
  • Identify funding discrepancies and resolve issues independently or escalate matters to supervisory staff, as appropriate.
  • Process document cancellations, modifications, stop payments, and check reissuances in coordination with the Office of the Comptroller.
  • Working knowledge of Microsoft Excel, including the ability to enter, review, and organize financial data.
  • Communicate with vendors and employees to obtain required documentation and respond to routine and non-routine inquiries.
  • Perform related duties, as assigned.

QUALIFICATIONS:

  • High school graduate or equivalent.
  • Minimum of two (2) years of administrative or clerical experience, with the majority involving organization, coordination, and performance of duties at a responsible level.
  • Excellent verbal and written communication skills.
  • Strong multitasking and time management abilities.
  • Demonstrated organizational skills and attention to detail.
  • Experience with filing systems and recordkeeping.
  • Working knowledge of desktop computers and software applications such as Microsoft Office or comparable programs.
  • Ability and willingness to learn new material quickly and continuously upgrade skills.
