The Administrative Services Division is the liaison to all of the Council divisions by assisting in the daily operations of Council Members, council member aides and central staff. The Division’s specific areas of responsibility include contracts, procurement and payment of goods and services, record retention, administration of the budget, facilities management, information technology services and overseeing the Sergeants-At-Arms Unit.
We are seeking a Facilities Assistant with knowledge of the inner workings of building management. The ideal candidate should possess the knowledge to work with private entities, city agencies and especially DCAS to ensure the provision of services relating to telecommunications, recycling, security, office cleaning, office remodeling, office moves, signage needs and equipment repairs. The Facilities Assistant coordinates with 250 Broadway landlord on all matters pertaining to daily general maintenance, heating, air conditioning, etc.
SALARY RANGE:
$60,000 to $65,000
KEY RESPONSIBILITIES:
- Assists with the upkeep of inventory program and database.
- Completes request for disposal of furniture and equipment.
- Arranges for the pick-up of salvage equipment and furniture.
- Processes and distributes Council identification cards. Produces reports, as needed.
- Efficiently maintains tasks related to the continued operation of the Council’s physical plant.
- Maintains council office space in 250 Broadway, including moving furniture, equipment and files.
- Maintains surplus equipment and furniture in basement of 250 Broadway and off-site location.
- Liaison with 250 Broadway management concerning electrical, plumbing, disposal, air conditioning, cleaning and security matters.
- Assists Council Members in maintaining their district offices, furniture and equipment disposal process.
- Assists in the closing and opening of Council Member district offices and legislative offices in regards to furniture and equipment.
- Transports equipment, furniture throughout Council facilities.
- Accepts delivery and storage of large purchases such as copy paper supplies.
- Provides back-up coverage to the Mail, Supply and Copy Services.
- Transports Council records between 250 Broadway and District Offices.
- Moves, restores, and builds, Council furniture when needed
- Works special events for City Council.
- Paint touchup walls within 250 Broadway.
- Implements energy conservation and paper recycling program for the Council.
- Energy conservation is enforced within the guidelines set forth by city regulations and instituted by the building management on a regular basis.
- Staff is made aware of paper recycling program in a professional manner.
- Paper recycling drop‑offs are identified and maintained on an uninterrupted basis.
- Miscellaneous duties and projects, as required.
QUALIFICATIONS:
- Excellent project management, communication and presentation skills, strong interpersonal and analytical skills, negotiation and facilitation skills.
- Must be able to function effectively under pressure.
- Attention to detail and considerable follow-up.
- Must be able to lift up to 75lbs.
- Must have a motor vehicle driver’s license valid in the State of New York with no restrictions.
- Must have, at minimum, 1 to 2 years of driving experience.
- Familiarity with the five boroughs of New York City helpful.

New York City residency required within 90 days of appointment.
